Job Description

The Nigeria for Women Project (NFWP) is a Federal Government initiative supported by the World Bank, aimed at improving women's livelihoods and increasing participation in economic activities through Women Affinity Groups (WAGs). The Administrative Officer will provide reliable administrative, logistical and office support to the State Project Coordinating Unit (SPCU) to ensure smooth implementation of NFWP activities in line with World Bank and Government of Katsina State procedures. LOCATION: State Project Coordinating Unit (SPCU), Katsina REPORTING TO: State Project Coordinator CONTRACT TYPE: Full-time, project-based (renewable annually subject to performance and project funding)

Key Responsibilities

The Administrative Officer will be responsible for: OFFICE OPERATIONS & MANAGEMENT: • Manage day-to-day office operations, filing systems and document control • Ensure proper record-keeping of attendance, leave and staff administrative data • Assist in maintaining a safe, clean and functional office environment LOGISTICS & COORDINATION: • Support scheduling of meetings, workshops, trainings and official missions • Organize travel arrangements, accommodation, and logistics for project staff and visitors • Maintain inventory of office assets, supplies and ensure timely replenishment • Liaise with procurement and finance units on administrative-related requests DOCUMENTATION & COMMUNICATION: • Support preparation of letters, minutes, reports and official correspondence • Support reception of guests, incoming/outgoing communication and general enquiries • Maintain proper filing and documentation systems ADMINISTRATIVE SUPPORT: • Coordinate with various units within the SPCU • Provide general administrative assistance to the State Project Coordinator • Any other administrative duties assigned by the State Project Coordinator

Required Qualifications

ACADEMIC QUALIFICATIONS: • Bachelor's degree in Business Administration, Public Administration, Management, Social Sciences or related field EXPERIENCE REQUIREMENTS: • Minimum of 2–3 years relevant administrative experience • Experience in development projects is preferred • Experience supporting donor-funded or government programmes is an added advantage TECHNICAL SKILLS: • Proficiency in MS Office (Word, Excel, PowerPoint, Outlook) • Strong organizational and multitasking abilities • Excellent written and verbal communication skills • Attention to detail and proactive problem-solving PERSONAL COMPETENCIES: • High level of professionalism, integrity and confidentiality • Ability to work under pressure and meet deadlines • Good interpersonal skills and teamwork orientation • Proactive and self-motivated • Excellent time management skills

Experience Requirements

ESSENTIAL REQUIREMENTS: • Minimum 2-3 years of administrative experience • Strong organizational and coordination skills • Excellent communication abilities (written and verbal) • Proficiency in Microsoft Office Suite • Ability to manage multiple tasks simultaneously • High degree of professionalism and discretion PREFERRED QUALIFICATIONS: • Experience with donor-funded projects (World Bank, UN agencies, etc.) • Experience in government or development sector • Knowledge of World Bank or international development organization procedures • Experience in project coordination or support roles WORKING RELATIONSHIPS: • Reports directly to the State Project Coordinator • Works closely with finance and procurement officers within the SPCU • Coordinates with all project staff and external stakeholders • Interfaces with government agencies, partners, and visitors
